Your receptionist is now talking to customers on your website, WhatsApp, Instagram and Telegram.
Which raises a question you and I should take seriously: where do those conversations live?
A CRM, before the acronym scares you off
A CRM is the unglamorous name for a database of the people who talk to your business:
- their contact details
- their conversations
- their history
The acronym has been ruined by enterprise software that takes six months to roll out. Strip that away and the idea is just "one record per person, everything about them on it".
In this system, the CRM is not an integration you bolt on later.
It is where the conversations natively go.
One inbox for every channel
Every chat your receptionist has, on any channel, syncs into the CRM inbox as it happens. Attached to the contact who is talking, labelled with the channel it came from.
You can read along in real time.
- The WhatsApp lead.
- The Instagram question.
- The website chat.
One screen, in order, with the person's details beside the conversation.
Even voice replies are there, as playable audio on the thread.
The record is complete, not a transcript with holes in it.
Jump in whenever you like
The receptionist handles the routine, and the routine is most of it.
But some conversations need you:
- the delicate complaint
- the big-ticket negotiation
- the customer you know personally
From the same inbox, you take over and reply as yourself. The customer stays in the same chat, on the channel they chose, with no seam.
There is no "please email our support team", which you and I both know is where conversations go to die.
When you step back, the receptionist resumes.
Handoff in both directions, inside one thread.
The same person, recognised
Here is the quiet clever part.
Someone who chatted on WhatsApp last month and fills a form on your website today is not two records. The system joins identities using whatever the person has declared, an email or a phone number, and merges the trail onto one contact.
Contacts even carry a lead score that grows with their behaviour:
- points for becoming a lead
- more for high-intent actions
- more again for a purchase
Open your inbox sorted by score and the top of the list is, quite literally, who to talk to next.
You own the record
One more thing, and it is not a small thing: this is the Second Brain OS CRM, run on dedicated SBOS infrastructure rather than rented from a big SaaS vendor.
Your conversations and contacts sit in your own account, they are yours to export, and there is no per-seat subscription meter running against your team.
Your customers are yours.
The record of every conversation with them should be too.
